Guide to a Christmas Marquee: Planning a Festive Event Under Cover

A Christmas marquee can be anything from a cosy space for a family celebration to an elaborate Santa's grotto with decorated entrances, festive activities and a special meeting place for Father Christmas. The structure itself is only the beginning. What makes the occasion work is the combination of a suitable marquee, careful winter planning and decorations that give the space its Christmas character.

At Midlands Marquee Hire, we supply and install marquees for private parties, businesses and community events throughout the Midlands. This guide explains how to choose and prepare a marquee for a Christmas event, including the additional considerations that come with December temperatures, shorter daylight hours and seasonal activities.

What Kind of Christmas Event Are You Planning?

Before choosing a structure, establish what the marquee needs to accommodate. A family Christmas party may revolve around food, music and seating, whereas a Santa's grotto needs a more carefully arranged visitor experience. A school Christmas fair or business celebration can introduce entirely different requirements.

  • Private Christmas parties: Covered space for festive food, seating, music and socialising.
  • Santa's grottos: A decorated setting for meeting Father Christmas, potentially with separate waiting and activity areas.
  • School Christmas fairs: Temporary shelter for suitable supervised activities, stalls or seasonal refreshments.
  • Corporate Christmas events: Additional space for staff celebrations, hospitality or end-of-year functions.
  • Community Christmas events: A suitable covered setting for festive activities, fundraising and seasonal entertainment.

The intended activities will influence the marquee dimensions, furniture requirements, power arrangements and how the space should be organised.

Choosing the Right Christmas Marquee Size

A Christmas marquee needs enough room for the people attending, but the decorations and activities also take up valuable space. Christmas trees, present displays, tables, seating and decorative backdrops should all be considered when calculating the required footprint.

Our Marquees range includes smaller structures such as the 3m x 6m Gala Tent and 4m x 8m Gala Tent. These may be suitable for compact Christmas celebrations or individual areas within a larger festive attraction, depending on the site and proposed use.

For more substantial requirements, options include the 6m x 10m Gala Tent, 6m x 12m Gala Tent, 6m x 14m Gala Tent and 6m x 16m Gala Tent. Larger dimensions can provide additional flexibility for seating, entertainment and decorative installations, subject to the available ground and an appropriate layout.

Remember that a marquee's overall size does not automatically establish its safe visitor capacity. Furniture, decorations, access routes and the nature of the activities all affect how much usable space remains.

Creating Santa's Grotto with Modular Marquees

One of the more imaginative uses for Christmas marquees is creating a Santa's grotto with several distinct sections. Instead of placing Father Christmas in the corner of one large tent, a suitable modular arrangement can give visitors a sequence of festive spaces to experience.

The Christmas Entrance

The first section establishes the atmosphere. Freestanding Christmas trees, illuminated decorations, artificial presents and a festive entrance display can help visitors feel that they are entering somewhere special. If families need to wait, allow enough space for the expected number of people without blocking entrances or exits.

The Elf Activity Area

A second area could be used for supervised Christmas crafts, writing letters to Father Christmas or another organised activity. Tables and chairs can make this section more practical, particularly where children will be seated while taking part.

Father Christmas's Grotto

The final section can be arranged as Santa's special room, with a comfortable chair, decorated Christmas trees, a festive backdrop and an appropriate space for family photographs. Keeping this area distinct from the entrance can create a stronger sense of anticipation.

Several suitable marquees may be capable of forming a connected arrangement, but compatibility must be checked in advance. Not all structures can be joined safely, and any connection needs to be approved and installed by our team. The site must also accommodate the complete arrangement, including appropriate entrances, exits and access for visitors.

How to Keep a Christmas Marquee Comfortable

Heating deserves particular attention when planning a Christmas marquee. Guests who are comfortable during a short visit may become cold if they are seated for several hours, and children waiting to meet Father Christmas may spend time standing relatively still.

For suitable installations, Marquee Heating can be added to help improve comfort. Our electric infrared heating requires an appropriate electrical supply, and heaters must be positioned with suitable clearance from Christmas trees, decorative fabrics, wrapped presents and other flammable materials.

Heating should not be treated as a substitute for suitable clothing or realistic winter planning. A temporary marquee is not the same as a permanently insulated building, and the comfort achievable will depend on the weather, installation and heating arrangement.

Lighting and Electrical Planning for Christmas Events

Christmas decorations often involve more electrical equipment than a typical summer party. Illuminated trees, decorative lights, music equipment and heating may all be required, sometimes simultaneously.

Before booking, identify which electrical items you intend to use and whether an appropriate power supply is available. Do not connect additional appliances to equipment or extension cables supplied by Midlands Marquee Hire without consulting our team. Electrical arrangements must be suitable for the expected demand and installation conditions.

For larger festive attractions, particularly those with several activity areas, an appropriately qualified electrical professional may need to assess the requirements. Keep cables protected and away from visitor routes wherever possible.

Decorating a Christmas Marquee Safely

The most effective Christmas decorations do not necessarily need to be attached to the marquee itself. Freestanding displays can transform the interior while keeping the structure clear of adhesives and potentially damaging fixings.

Consider decorated trees, illuminated freestanding figures, artificial gift displays, Christmas-themed table decorations and purpose-built photographic backdrops. Decorations must not be taped, glued or hung from the marquee walls, roof or framework without approval.

Keep decorations clear of heaters, electrical equipment, entrances and exits. Naked flames, candles and other ignition hazards should not be used near the marquee or its decorative materials. Battery-operated LED candles can provide a similar visual effect without an exposed flame.

Tables, Chairs and Space for Christmas Activities

Furniture requirements depend on whether the marquee will be used for dining, waiting, activities or informal socialising. A Christmas meal needs a different layout from a grotto where families visit for a short period before moving on.

Our Furniture range includes 4ft Round Table and Foldable Chairs. These can be used for suitable seated arrangements, from festive lunches to supervised craft activities.

For a private Christmas party, the 3m x 6m Gala Tent with Furniture or 4m x 8m Gala Tent and Furniture may also be worth considering. Check the intended seating arrangement and available dimensions before selecting a package.

Planning for Rain, Wind and Winter Ground Conditions

December conditions can present challenges that are less common during summer. Wet grass, muddy approaches, standing water, strong winds and freezing temperatures may all affect the suitability of a proposed installation area.

Choose reasonably level ground with suitable access and drainage. If the marquee will be installed on paving or another hard surface, tell us when booking so the appropriate securing arrangements can be considered. Midlands Marquee Hire does not supply marquee flooring, so the existing ground surface needs to be suitable for the planned activities and footwear.

We monitor weather conditions and follow safety procedures for marquee installations. Severe winds or other extreme conditions may mean a structure cannot safely be erected or used. Organisers of public Christmas attractions should have suitable contingency arrangements rather than assuming the marquee will be available regardless of the forecast.

Visitor Management at a Santa's Grotto

If your Christmas marquee will be open to the public, think carefully about how many families may arrive at once. A popular grotto can attract queues, particularly at weekends and during school holidays.

Timed admission, clear information about waiting arrangements and adequate supervision can help organisers manage the experience. Consider accessibility for wheelchair users and pushchairs, particularly if the approach involves grass or uneven ground.

The event organiser is responsible for appropriate staffing, safeguarding arrangements, permissions and any required assessments relating to public activities. Marquee hire does not automatically include event management or supervision.

Christmas Marquees for Office Parties and Festive Celebrations

Not every Christmas event involves Santa. Businesses may need additional space for staff celebrations, hospitality or seasonal functions, while families may prefer a marquee at home rather than arranging a separate venue.

For evening parties, the 12x12ft Dance Floor can provide a defined entertainment area within a suitable marquee. Seating, heating and decorative features can then be planned around the type of celebration and expected guest numbers.

For seasonal celebrations involving anniversaries or milestone birthdays, Giant Love Letter Hire and LED Number Hire provide additional illuminated features without relying on decorations attached to the marquee framework.

When Should You Book a Christmas Marquee?

The earlier you begin planning, the more opportunity there is to discuss suitable equipment, the proposed layout and the practical requirements of a winter installation. This is particularly important for Santa's grottos and larger festive attractions involving multiple marquee sections.

When enquiring, provide the date, location, available dimensions, ground surface, approximate visitor numbers and intended activities. If you are considering connected modular marquees, explain how many distinct areas you would like and what each section needs to accommodate.

A 25% non-refundable deposit is required to secure a booking, with the remaining balance due before delivery. Please review our Cancellation Policy and consider the implications of severe weather when planning your event.
