Marquee Booking Timeline Guide

This guide outlines a typical timeline for booking marquee hire. It explains what to plan at each stage, from early planning through to delivery and collection.

Early planning stage

As soon as you have an event date, start considering whether a marquee is required. At this stage, you should have a rough idea of guest numbers and the type of event you are planning.

Early planning is especially important for weddings, summer events, and bank holiday weekends. Reviewing the Marquee Size Guide can help you estimate space requirements.

Initial enquiry

When contacting us, provide the event date, location, surface type, and estimated guest numbers. If the event is in a garden or on a hard surface, this should be clearly stated.

Photos of the setup area can be helpful, particularly where access is limited. For garden events, the Guide to Garden Marquee Hire may be useful.

Confirming your booking

To secure your booking, a 25 percent non-refundable deposit is required. Once confirmed, the marquee and any additional items are reserved for your date.

At this stage, confirm whether you require heating, lighting, furniture, or decorative items. Relevant guides include the Guide to Heating a Marquee and Furniture Layout Guide for Marquees.

Final checks before delivery

In the weeks leading up to your event, confirm access arrangements and surface conditions. Make sure the setup area is clear and ready for installation.

Power availability should also be checked. See the Guide to Power and Electrics for Marquees for planning support.

Delivery and installation

Marquees are usually installed shortly before the event. Our team will deliver, assemble, and secure the marquee in line with site conditions and safety requirements.

Once installed, the marquee structure and layout should not be altered.

During the event

During the hire period, ensure hired equipment is used responsibly. Keep heaters, walkways, and entrances clear.

For poor weather, review the Wet Weather Contingency Planning Guide.

Collection after the event

Collection usually takes place the day after the event. Ensure the marquee and any hired items are accessible and free from personal belongings.

Delays caused by restricted access may result in additional charges.

Further Planning After Booking

Once your marquee is booked, the next stage is preparing the site, confirming your layout and ensuring all practical details are in place before installation. Good preparation helps avoid delays and ensures everything runs smoothly on the day.

If you are still finalising your setup, the Marquee Size Guide will help confirm that your chosen marquee is suitable for your guest numbers and event type. This is especially important before arranging furniture or additional equipment.

Layout planning should also be completed in advance. The Furniture Layout Guide for Marquees explains how to organise seating, standing space and walkways so your event runs efficiently once guests arrive.

Preparing your site is a key step before installation. The Preparing Your Garden for Marquee Hire and Hard Surface vs Grass Setup Guide outline what needs to be ready, including ground conditions, access and setup space.

Weather planning should also be considered ahead of your event. The Guide to Weather Proofing Your Marquee and Wet Weather Contingency Planning Guide explain how to prepare for changing conditions and maintain a usable space.

If your event includes lighting, heating or entertainment equipment, the Guide to Power and Electrics for Marquees and Guide to Heating a Marquee will help you plan safe and effective usage.
